Privacy Policy for iButler

1. Overview

This Privacy Policy explains how iButler ("iButler," "we," "our," or "the App") handles information when you use the iButler iPhone application and its Apple Watch companion.

iButler is a local-first task and reminder application. You do not need to register or sign in. If you allow AI sharing, ApiX creates a technical guest identity for your installation. Login-free access does not mean that no information is processed or stored on a server.

2. Information Stored on Your Device

Tasks, plans, reminders, completion history, preferences, and Butler's Notes are stored on your device. Your notebook is not automatically uploaded as a server-side task database. Optional AI features can send selected content from these records as explained below.

Removing the App may remove locally stored app data, subject to Apple's device backup and restore features. Installation credentials in Keychain may survive removal of the App. Uninstalling does not itself request deletion of records held by ApiX or the AI provider.

3. Optional AI: ApiX and Alibaba Cloud

Before your first AI request, iButler asks you to allow AI data sharing. If you decline, you can still create and manage tasks manually. ApiX receives AI requests and forwards their text to Alibaba Cloud Model Studio (Qwen) in Beijing, China, to generate a response.

Requests can include the message you type or dictate, plan details, up to eight recent conversation exchanges, enabled saved details from Butler's Notes, and the current date, time, and time zone. When you open AI from task details, that task's title, due status, and action status can also be included.

Personalized greetings are a separate optional setting. When enabled, a daily request can include limited title-and-timing summaries for today's tasks, active plans, and recently overdue tasks. Recently completed tasks are used only when those groups are empty. Greeting requests exclude task notes, contacts, pact details, and the rest of your notebook.

The ApiX AI service processes prompts and responses without storing chat history. It stores daily usage counters as described in Section 5. This does not mean that Alibaba Cloud has no retention: its processing and retention are governed by the terms applicable to the Model Studio service.

Apple's Speech framework converts voice input to text. Watch voice requests use the paired iPhone for speech processing and AI access. Transcripts can be sent to ApiX and Qwen; raw microphone audio is not sent to either service by this integration. Apple's speech processing is subject to Apple's services and privacy practices.

Please do not include passwords, financial information, government identification numbers, medical information, or other highly sensitive personal information in an AI request.

4. Device Permissions

Depending on the features you choose to use, iButler may request access to certain device capabilities:

• Notifications: used to deliver task and reminder alerts.
• Alarms: on supported iOS versions, optional AlarmKit access enables system alarms when pact tasks are due.
• Speech recognition or microphone: used when you choose to dictate a request or complete a voice or sound-based action.
• Motion and fitness activity: used when you choose a walking, shaking, or jumping completion challenge.
• Location: used when you choose a location-based task or completion challenge.

These permissions are optional and are requested when you use a relevant feature or choose to enable it during setup. You can change permission access in Settings. A feature that needs a declined permission may be unavailable. Sensor readings used to evaluate completion actions are processed locally; this AI integration does not upload raw motion readings or location history. Voice transcripts and selected task context may be shared as described above.

5. Installation Identity and Usage

After you allow AI sharing, iButler creates a random installation identifier and a secret credential. They are stored in device-only Keychain storage. ApiX receives them to create or resume a technical guest user, without an email address, phone number, or password that you have to enter.

• Identifiers and sessions: ApiX stores the installation identifier, an internal guest-user identifier, a protected hash of the credential, and session records. The App stores session tokens to authorize later AI requests.
• Functional usage: ApiX stores daily AI request counts for the guest user and application to enforce limits. Requests that fail or time out can still count if they were admitted for processing.
• Abuse prevention: ApiX also uses IP-scoped authentication counters to limit repeated exchanges and registrations.

These records persist beyond a single request. Identifiers and per-guest usage are linked to your installation even though you do not sign in. They support authentication, limits, and security, not advertising tracking. Apple handles subscription payments; iButler does not receive your payment card or banking details.

6. Tracking, Advertising, and Sale of Data

iButler does not display third-party advertising, does not track users across apps or websites, and does not sell or rent personal information.

7. Data Retention and Deletion

You can edit or delete local tasks and Butler's Notes inside the App. In Butler AI > AI & privacy, you can revoke permission for future AI requests. Revoking permission clears the current in-memory conversation, disables personalized greetings, and removes their cached responses. Saved details in Butler's Notes remain local until you delete them.

ApiX retains technical guest, session, and usage records to operate the service, enforce limits, and prevent abuse. These records are not automatically erased by revoking AI permission or uninstalling iButler. Application-wide usage totals are not tied to an individual guest and can remain after that guest's records are removed.

Information submitted to Alibaba Cloud is subject to Alibaba Cloud's data retention and deletion practices. Requests concerning information processed by Alibaba Cloud may also be governed by Alibaba Cloud's applicable privacy policy and service terms.

8. Security

We use reasonable technical measures designed to protect information transmitted by the App. However, no electronic transmission or storage system can be guaranteed to be completely secure.

9. Children's Privacy

iButler is not directed to children under 13, and we do not knowingly collect personal information from children under 13. A parent or guardian who believes a child has provided personal information through the App should contact us using the information below.

10. International Processing

AI requests are processed through ApiX and by Alibaba Cloud Model Studio in Beijing, China. ApiX and its hosting infrastructure may also process information outside your country or region. Data-protection laws in those locations may differ from those where you live.

11. Changes to This Privacy Policy

We may update this Privacy Policy when the App, its features, or legal requirements change. The revised policy will be posted on this page with an updated effective date.

12. Contact Us

If you email support or choose to report an AI response, we receive the email address and content you choose to send, which may include the selected response. Do not include sensitive information that is not needed for the request.
